Delivering Virtual Events With Dynamics 365 Marketing

Whether it's networking events, webinars, online trade shows, virtual conferences & summits, internal hybrid events, or external hybrid events, a lot of efforts and resources go to successfully organizing an event. Thankfully, a comprehensive marketing automation platform such as Dynamics 365 Marketing can help you explore the best of extensive event planning & management capabilities without spending a fortune.

One of the best things about Microsoft Dynamics 365 Marketing is the seamless native integrations with Microsoft Teams that make it easy for you to host an online event. It also eliminates the requirement for a separate third-party webinar platform while ensuring that all the elements of online events can be easily managed from within Dynamics.

To get started, you will need to first create a root record for tracking all records and details that are associated with the event. Information regarding events can be quickly organized into General, Agenda, Registration & Attendance, Additional Information, and Post Event.

You will need to visit the General tab and then set the Format option to either hybrid (live webinar with access to sessions afterward) or Webinar (no live audience). Once you have chosen one of the two options, you'll need to configure four settings:

  • Webinar Type: The webinar provider will finalize the options for the type of webinar to be hosted.

  • Webinar configuration: To run the webinar, you'll have to choose a third-party webinar provider (Dynamics 365 for Marketing presently supports On24) and account.

  • Language: You'll have to choose the language the webinar will be presented in.

  • Producer: You will have to select the event team member who will be entrusted with the task of webinar management.

Once you have set the items, a webinar record will be created by Dynamics 365 in the On24 system. This will, in turn, generate two URLs: one for the webinar that can be shared with the attendees and the second for the webinar presentation manager so the webinar can be easily managed. Thereafter, all you need to do is to spread the word about your online event.

For this, you can create an event website by using out-of-the-box event site templates offered by Dynamics 365 for Marketing. You can easily configure these templates to allow registrants to build their own agenda and allow online payments. On the event website, potential registrants can access details about the event, sessions, and speakers, and register for the event.
